ADMINISTRATION

Affluence Property Management ensures that the building complies with all the statutory requirements as well as submit annual documents and facilities lodgment of amendments to the conduct Rules at CSOS.

The Affluence Property Management online platform further assist with administration by enabling owners online access to management information, levy statements, annual general meeting minutes, rules, plans and contact details.

Affluence Property Management strives to eliminate the hassle, stress and risk of the day to day management by the scheme executives.

FINANCIAL MANAGEMENT

A trust bank account is opened for each Body Corporate or Homeowners Association. We manage the trust fund and investment account on behalf of the scheme and through our Intelligent Property Management Software.

We attend to the payment of all authorized disbursements, including municipal accounts, creditors and suppliers, salaries and wages, CSOS, PAYE, UIF and COIDA where applicable and registered.

We prepare and distribute the monthly levy statements to owners.

Administration of all income and levy payments on behalf of the Body Corporate.

Affluence Property Management ensures transparency and diligent reporting to Directors, Trustees and Owners.

INSURANCE

We ensure that our schemes insurance policies are adequately proportioned, properly managed and that claims are submitted promptly. We only work with experienced brokers to ensure that each building is not under insured or over ensured and that they are receiving the best possible value from their policy.

ARREAR COLLECTIONS

Affluence Property Management ensures that the arrears collections enjoys the highest priority.

Through our experience we have seen that the traditional blanket approach with collections does not yield the best results as this approach neglects customer service, rapidly increases customer arrears and mostly benefits the collection agencies appointed to do the collection.

Affluence Property Management uses a client centric approach to ensure that a valid dispute does not form part of the non payment. Client interaction and negotiation will in most cases yield the quickest result and is not only focused on collecting arrears but ensuring that current payments are made again monthly.

Should the process require legal intervention liaise and meet with the appointed attorneys on a monthly basis to manage arrears collections on behalf of the Body Corporate or Home Owners Association. We only work with collection attorneys who provide swift feedback on a regular basis.

Our process focuses on making progress and providing feedback on a monthly basis so that trustees/directors know precisely the stance of arrears in their scheme.

SECRETARIAL

We assist in arranging annual general meetings, preparing and distributing meeting notices as well as the relevant documentation to the Body Corporate.

We also attend all meetings taking minutes to circulate to all relevant parties. Affluence Property Management prepare the agenda’s and attend to all proxies, nominations and attendance registers.

We provide guidance to Trustees on all aspects of the Sectional Title Schemes Management Act and all procedural matters relating to meetings, notices, special meetings, quorums, resolutions, voting proxies etc.

The Affluence Property Management team will provide sectional title, property and facility management advice.

MANAGEMENT OF VARIOUS CONTRACTORS RELATING TO MAINTENANCE

Our Sectional Title Management team ensures buildings and common areas within a Sectional Title or residential community is maintained for the benefit of all owners.

We are particularly adept at building maintenance management. Through longstanding preferential partnerships with leading contractors and long-view maintenance planning, we minimize costs and keep the building and common areas in top shape.

Affluence Property Management can assist with the up keeping and implementing of a 10 year maintenance plans in accordance with statute and legislation.

MONTHLY SITE VISITS
Affluence Property Management inspects the building and common property once per month. This enables Affluence to provide a complete monthly report and advise on solutions with regards to maintenance, employees, employees on-site accommodation, security and general aesthetics of the scheme.

PRE-NEGOTIATED NETWORK OF CONTRACTORS
Affluence Property Management has pre-negotiated quality offerings with various contractors to ensure that the body corporate or home owners association needs are met at affordable rates. The contractors have been thoroughly vetted by Affluence Property Management to ensure that they provide quality service, extended working hours, guarantees on all work done.

HANDS ON TRAINING FOR THE BODY CORPORATE OR HOME OWNERS ASSOCIATION’S EMPLOYEE
